ChatGPT for Everyday Productivity

Lesson 2: Summarizing and Extracting Key Information

Lesson Objectives

By the end of this lesson, students should be able to:

  • Apply specific-question extraction rather than generic summarization
  • Extract action items, decisions, and deadlines from long documents
  • Calibrate summary depth to the actual situation
  • Apply ChatGPT's web search / browsing feature to web content where available

Lesson Content

Why "summarize this" produces weak results.

Generic requests produce generic responses. "Summarize this document" gives ChatGPT no guidance about what matters for your purpose – so it produces a comprehensive overview that may contain what you needed but requires you to filter for it. Specific questions produce targeted answers.

Specific-question extraction.

"I am reviewing this report before a client meeting. Answer these specific questions: (1) What are the top three recommendations? (2) What financial figures are cited? (3) Are any risks flagged I should be prepared to discuss?"

Action item extraction from long documents or email threads.

"Here is [document/email thread]. Extract: (1) every action item and who is responsible, (2) every deadline mentioned, (3) every decision that was made, (4) any open questions not resolved. Format as four separate lists."

Depth spectrum – calibrating summary length.

  • Headline (1-2 sentences): "What is the single most important thing I need to know from this document?"
  • Executive summary (bullets): "Summarize the five key points in bullets – each under 20 words."
  • Working summary: "Summarize the main content in a paragraph I can share with my team."
  • Section-by-section: "Summarize each major section, noting key data and recommendations."

ChatGPT file upload for direct summarization.

Where file upload is available on your plan, you can upload documents directly. Instead of pasting content, you upload a PDF, Word document, or text file and ask questions directly about it. Verify current file upload capabilities at openai.com.

Jamie Practice Lab

Before moving to the quiz, complete this short applied exercise:

  1. Write one realistic ChatGPT prompt that applies the main idea from Summarizing and Extracting Key Information to your own work, learning, or daily life.
  2. Add one safety or verification step you would take before acting on ChatGPT's response.
  3. Revise the prompt once to include clearer context, constraints, or success criteria.

Instructor check: A strong answer should show practical use, human review, and awareness that ChatGPT output is assistance – not automatic truth or professional advice.

Added Quiz Enhancement
