Lesson Objectives

By the end of this lesson, students should be able to:

  • Explain what Gemini Extensions are and what they enable
  • Identify and enable the key Google service Extensions
  • Use Extensions effectively in conversation with specific techniques
  • Apply appropriate privacy considerations before enabling any Extension

Lesson Content

IMPORTANT DISCLAIMER: Extensions features and availability change with Google product updates. The Extensions described in this lesson reflect publicly available information as of the course creation date. Before enabling any Extension, verify current availability, privacy implications, and any subscription requirements at gemini.google.com/extensions or your Gemini settings.

What are Gemini Extensions?

Gemini Extensions are integrations that allow Gemini to connect with and search within specific Google services – enabling Gemini to look up information from your Gmail, find documents in your Drive, check your Google Calendar, and access other Google services on your behalf.

Without Extensions, Gemini can only work with information you provide in the conversation. With Extensions enabled, Gemini can retrieve specific information from connected services when needed – significantly expanding what it can assist with.

Key Google service Extensions (verify current availability).

Extensions that have been available or announced by Google include connections to:

  • Gmail: Allows Gemini to search your email – finding specific emails, summarizing email threads, or retrieving information from your inbox in response to questions.
  • Google Drive: Allows Gemini to search your documents, slides, and spreadsheets – finding and summarizing content from files in your Drive.
  • Google Docs, Sheets, Slides: Integration for working with specific documents in your Google Workspace.
  • Google Calendar: Allows Gemini to check your calendar, summarize upcoming events, or help manage scheduling questions.
  • Google Maps: Allows Gemini to provide location-based information, directions, or local business details.
  • Google Flights and Hotels: Allows Gemini to search for travel options and accommodations.
  • YouTube: Allows Gemini to search YouTube content and summarize video information.

*Note: Extension availability changes with product updates. The current list of available Extensions is always at gemini.google.com/extensions or in your Gemini settings. Third-party Extension support may also be added – verify what is currently available.*

Enabling and using Extensions.

To enable Extensions: access your Gemini settings and look for the Extensions or Connections section. Enable each service you want to connect. You will typically be asked to grant permissions for Gemini to access each service.

Using Extensions effectively in conversation:

"Search my Gmail for any emails from [sender or keyword] in the last week and summarize what they contain."

"Look in my Google Drive for documents about [topic] and tell me what they cover."

"Check my calendar for tomorrow and tell me what my day looks like."

The key is to be specific about what you want Gemini to search for – vague requests produce vague results even with Extensions enabled.

Privacy considerations before enabling Extensions.

Enabling an Extension grants Gemini access to data in the connected service. Before enabling any Extension, consider:

  1. What data will Gemini have access to? Gmail access means Gemini can search your email. Drive access means Gemini can search your documents. Review what each Extension accesses.
  1. How is that data used? Review Google's privacy policy for how Extension-accessed data is handled. Note whether Gemini Apps Activity settings apply to Extension-accessed content.
  1. Is this Extension necessary for your use? Enable only Extensions you will actually use – minimizing access to your personal data is good security practice regardless of trust level.
  1. What are your organization's policies? If using a work account, check with your IT or legal team before enabling Extensions that give Gemini access to work email, documents, or calendars.

Practical Example

A project manager uses Gmail for all project communications. She enables the Gmail Extension.

She asks: "Search my Gmail for any messages from the vendor about the September delivery timeline and summarize what has been agreed." Instead of manually searching through 400 emails, Gemini retrieves and summarizes the relevant thread in under a minute.

She also asks: "Check my Drive for the project charter and tell me what the original scope statement says about Phase 2." Gemini finds and summarizes the relevant section.

Her caveat: before enabling Gmail access, she checks that her organization's policy allows AI access to work email on her account type. (Organizations using Google Workspace may have specific policies about this.)

Lesser-Known Tip

When using Gmail or Drive Extensions, be as specific as possible about the search scope to get precise results: instead of "search my Gmail for project emails," try "search my Gmail for emails containing the phrase 'delivery timeline' from the last 30 days." The more specific your search instruction, the more targeted and useful the results – Gemini's Extension search benefits from the same specificity that produces good database queries.

Safety Notes

Extensions that give Gemini access to your Gmail, Drive, and Calendar grant AI access to potentially sensitive personal and professional information. Review Google's privacy documentation before enabling access to understand how Extension-accessed data is handled. For accounts governed by organizational policies (Workspace accounts), obtain explicit guidance from your IT or legal team before enabling Extensions. Regularly review which Extensions you have enabled and disable those you are not actively using.
