A brief tells Claude what the document is for, who will read it, what it needs to accomplish, what key points must be included, and what constraints apply. Without a brief, Claude produces a generic template with placeholder text – technically valid but practically useless. Think of briefing Claude the way you would brief a writer or communications professional: give them the facts, the audience, the goal, the tone, and the constraints. They do not need to know everything – they need enough to draft specifically. What a strong document brief includes: Email drafting in practice. Emails are the most frequent professional writing task. The quality difference between a vague email prompt and a briefed email prompt is dramatic. The briefed approach: Draft a professional email to a vendor who has missed three delivery deadlines. I need to: (1) document the pattern of missed deadlines factually, (2) state that we are placing the next order on hold pending a written commitment to a revised timeline, and (3) request a response within 48 hours. Report and memo drafting. For longer documents, give Claude the full content in outline or bullet point form and ask it to draft from that. Do not ask Claude to invent the content – give it the substance and ask it to organize, structure, and write it in the appropriate register. This is faster, produces better output, and keeps you in control of the content while Claude handles the drafting work. A team lead needs to send a meeting recap. Weak prompt Write a meeting recap email. Produces a generic template: "Per our discussion today, the following items were covered: [item 1], [item 2]…" Briefed prompt: Write a meeting recap email for a 45-minute project kickoff meeting with a client. The briefed prompt produces a usable, accurate recap rather than a placeholder template. You can ask Claude to draft in your own voice by first pasting a sample of your writing. "Here is an example of how I write professionally: [paste 2-3 paragraphs]. Match this voice and style when drafting the following email." Claude will analyze your sample and adapt its output to match your register, sentence structure, and tone. This is particularly useful for executives who want Claude to draft on their behalf without the output sounding generic. Do not paste confidential client information, proprietary financial data, personal employee details, or legally sensitive content into Claude without understanding your organization's data handling policies. Draft emails involving personnel actions, legal disputes, or compliance issues should always be reviewed by a manager, HR, or legal counsel before sending – regardless of how well-written Claude's draft is. Choose a professional email you need to write this week. Before prompting Claude, write a six-point document brief using the components from this lesson. Submit the brief to Claude and compare the output to what you would have gotten from a one-sentence prompt. Note which brief elements made the biggest difference. You should be able to write a complete document brief and use it to get a targeted first draft from Claude – for emails, reports, or memos – that requires editing rather than reconstruction.
